- I. INTRODUCTION *************************************************************
-
- The HOME-PHONE-BOOK (HPB) program was developed specifically for
- the home computer market. It incorporates many features found in the more
- sophisticated commercial products while maintaining an ease of use for the
- casual user. The HPB's unique combining of names, and its ability to store
- the names of up to six children, makes it the right choice for the home user.
- It combines the first names, if provided, of both heads of the house. This
- combine feature is useful for making documents that require both names, such
- as Christmas mailing labels. Because of the combine feature, information
- such as birthdays and work phone numbers can be separately stored with each
- head of the house. Birthdays can also be stored for each child.

- Another unique feature of the HOME-PHONE-BOOK program is a separate
- utility (HPBDATES) that scans the data base looking for any upcoming
- anniversary or birthdays. This utility can be used any time, but is best
- used at boot time to remind you of any important dates in the near future.

- The HPB program is distributed under the shareware concept which
- allows you to review a program prior to its purchase. A registration form
- can be printed by pressing the F2 key on the initial screen. Your
- registration fee entitles you to 1) the latest version of the program,
- 2) future updates at reduced prices, 3) bonus software - including HPBDATES,
- and 4) the opportunity to offer your suggestions to the program developers.

- II. SYSTEM REQUIREMENTS *****************************************************

- The HPB program requires DOS 2.0 or later, 512K RAM, and a hard disk
- to really be effective. Two floppy disk systems can be used but their HPB
- performance will be impaired (similar to other data base programs that are
- executed on two floppy systems). Depending on the number of records being
- stored, the program can use up to 1000KB of disk storage capacity, although
- a typical user will need less than 100KB. Black & White and Color monitors
- are supported in text mode - no graphic cards are required.

- III. HARD DISK INSTALLATION *************************************************
-
- The following instructions assume your hard disk is your C-Drive.
- The symbol <enter> means to press the ENTER-KEY.
-
- 1) Insert the distribution disk into your system's A-Drive
- 2) At the DOS prompt C:\> enter: cd \ <enter>
- 3) At the DOS prompt C:\> enter: md \hpb <enter>
- 4) At the DOS prompt C:\> enter: cd \hpb <enter>
- 5) At the DOS prompt C:\hpb> enter: copy a:*.* c:\hpb\*.* <enter>
- Note: This step will copy all of the files from the distribution
- disk into the hpb directory on your C-Drive.
- 6) Installation is now complete. To execute the HPB program, simply
- enter HPB and press the ENTER-KEY. The first time you execute
- the program, it will ask you if you have a color monitor. It
- will store your response in the configuration file (HPB.CFG).

- Although the HPB program can be executed from a floppy disk, its data
- file requirements can become more than the storage capacity of a 360KB
- floppy. Also, the use of a floppy to store data severely impacts the
- program's response time when accessing the HPB data file. Therefore, it is
- not recommended to execute the program from a floppy disk except for a
- brief trial period or if that is the only means available to you.

- IV. MULTIPLE DATA FILES *****************************************************
-
- Although the HPB program can store up to 1000 names, which is more
- than a typical household would use, there may be times when you want to store
- your data on separate files. For example, your children may want to keep a
- list of their friends separate from your phone book. Or, if you own a small
- business, you may wish to keep your business contacts separate from your
- personal phone book. For whatever reason, this procedure will show you how
- to accomplish this feat.

- This procedure assumes you installed the HPB program and its files
- according to the installation procedure described above. The procedure
- creates sub-directories under the HPB directory to store your data and
- associated configuration files. The procedure will create two data
- directories, one for your home names and one for a club for which you are a
- secretary and must maintain a list of club members. The symbol <enter>
- means to press the ENTER-KEY.

- 1) At the DOS prompt C:\> enter: cd \hpb <enter>
- 2) At the DOS prompt C:\hpb> enter: md \hpb\home <enter>
- 3) At the DOS prompt C:\hpb> enter: md \hpb\club <enter>
- 4) At the DOS prompt C:\hpb> enter: copy hpb.dat c:\hpb\home\hpb.dat
- 5) The procedure is now complete. To execute HPB using your home
- data file, change the directory to \hpb\home (cd \hpb\home) and
- execute HPB by entering \hpb\hpb. To use your club data file,
- change the directory to \hpb\club (cd \hpb\club) and execute HPB
- by entering \hpb\hpb. The initial execution of HPB using a new
- data directory will ask you if you have a color monitor and then
- store your response in a new configuration file. A configuration
- file will be created for each data file.

- V. COLOR VS. BLACK & WHITE **************************************************
-
- The initial execution of the HPB program asks if you have a color
- monitor. If you respond yes, a color scheme is used for all displays. If
- you respond no, the program displays all screens in black and white. Your
- response is stored in the configuration file and you will not be asked again
- if you have a color monitor.

- However, if for some reason you wish to change your response to the
- color monitor question, all you need to do is to delete the configuration
- file (del c:\hpb\hpb.cfg). The color monitor question will be ask the next
- time you execute the program.

- VI. CONFIGURATION FILE ******************************************************
-
- The configuration file stores various information that you have
- entered so you don't have to re-enter information every time you execute
- the HPB program. The configuration file (HPB.CFG) stores the following
- information:
-
- . monitor type (color or black and white)
- . standard print question responses
- . printout title line
- . return address for envelope printing
-
- With the exception of the monitor type, all information can be
- changed and stored anytime during any program execution. The monitor type
- can not be changed unless you delete the configuration and re-execute the
- program. If you delete the file, all configuration information will be lost.
- However, it is easily re-entered.

- VII. FEATURES ***************************************************************
-
- The HPB program has numerous features, most of which are intuitive
- and require no explanation. There are however, a few features that can be
- expanded upon to assist the user in getting the most out of the program.
- These features are explained below.
-
- A. HELP WINDOWS - The HPB help routines are always active and can
- be invoked by pressing the F1 KEY. After reviewing the help
- text, simply press the any KEY to return to HPB processing.

- B. PULL DOWN MENUS - The HPB program uses PULL DOWN MENUS to provide
- you with several, easily accessible options. PULL DOWN MENU
- processing conforms to the accepted standard for designing
- user interfaces. The PULL DOWNS are only accessible from the
- primary screen and are invoked by pressing the ALT KEY and either
- the F, O, or H KEYS. Once activated, movement within or between
- a PULL DOWN can be accomplished by using the cursor keys (up,
- down, left, or right).

- C. SELECT CODES (SLCs) - The select codes allow you to categorize
- your names so you can be selective in your printouts. For
- example, an 'X' SLC can signify people on your Xmas label
- list. An 'E' SLC could signify an emergency phone number. The
- name of the SLC is totally up to you. You can have up to
- 14 SLCs.

- D. BROWSE - The last name search, or browse as some people call it,
- allows you to enter the first letter of a person's last name
- on the index screen to page into the data file. Once you have
- paged into the file, you then use your cursor keys to space
- forward/backward to find the desired name. Since all last
- names begin with a capital letter, lower case letters are
- converted to upper case.

- E. MARRIED COUPLES WITH DIFFERENT LAST NAMES - This problem is
- overcome by using the first first name field to enter a full
- name. For example, to have the program printout a name like
- "Jane Smith & John Doe ", entered their names on the data base as:
- Last Name: Doe
- First First Name: Jane Smith
- Second First Name: John

- F. PRINT QUESTIONNAIRE - The questionnaire asks you to respond to
- several questions. However, not all of the questions are used for
- every print option. For example, questions related to paper
- output are not used on a screen display. The questions, however,
- do need to be answered to get by the program edits. The
- initial execution of the program creates a standard set of
- responses which you can change to suit your needs.

- G. PAGE BREAK ON E-I-M-R-U - This question on the print questionnaire
- is asking you if you wish your output to page break on the letters
- E, I, M, R, U. The page break facilitates the use of tabs in a
- three ring binder.

- H. WORDPERFECT(R) MERGE OPTION - This option creates a WordPerfect(R)
- merge file that can be used to merge name and addresses into a
- predefined letter. Once the merge file (HPBWP.MRG) is created,
- you will need to merge the file with your WordPerfect primary
- file. The Wordperfect(R) commands to merge the files are:
- 1) CONTROL-F9
- 2) SELECT 1 to merge the file
- 3) ENTER your primary file name which you previously
- created with your text (letter) with the
- following field parameters:
- {FIELD}1?~
- {FIELD}2?~
- {FIELD}3?~
- {FIELD}4?~
- {FIELD}5?~
- {FIELD}6?~
- {FIELD}7?~
- Note: FIELD1 is for extracted names, FIELD2
- is for extracted address line1, FIELD3 - ADL2,
- FIELD4 - ADL3, FIELD5 - CSZ, FIELD6 - Country,
- FIELD7 - Salutation.
- 4) ENTER \HPB\HPBWP.MRG as the secondary file name
- 5) SHIFT F7 to print

- Consult your WordPerfect(R) reference manual for additional
- information.

- I. ENVELOPE RETURN ADDRESS - The HPB program allows you to enter a
- return address for printing on an envelope. Don't confine
- yourself to a tradition return address, be creative! For example,
- if you are creating envelopes for Christmas cards make the return
- address something like this:
- Merry Christmas from
- John and Jane Doe
- 123 Main St.
- Somewhere-in, NE 68999

- J. PRINT ONE ENVELOPE OPTION - This option is not only a short cut to
- printing just one envelope, it also builds a one record WordPerfect
- merge file just in case you have a letter you need to construct.

- VIII. HPBDATES **************************************************************
-
- Registered versions of the HOME-PHONE-BOOK program come with a HPB
- utility to scan the HPB data file for important dates. This utility is can
- be executed any time but is very useful at system boot time. If placed in
- the system's autoexec.bat file, the program will take only a few seconds to
- look for important dates. If a match is found, the program will display the
- date type (birthday or anniversary) and the associated names. It's a great
- little reminder tool! Additional documentation on this utility comes with
- program registration.
